When a transaction is under contract, I will:

  • Coordinate opening of the file and handle all documents securely
  • Keep everyone informed— Introduction email will be sent providing a timeline of deadlines on a Transaction Summary Sheet with a copy of the executed contract to co-op agent, buyer/seller (your client, as appropriate), lender, and closing attorney or escrow/title company
  • Ensure everything is fully completed and executed with the contract (dates, initials, signatures, and broker information), reach out for corrections as necessary, and monitor compliance.
  • Submit all required contract documents to broker for compliance within 48 hours of execution
  • Send/request disclosure packages and gather signatures, if needed
  • Ensure the lender, closing attorney or title/escrow company, and broker receive any amendments or changes to the contract
  • Verify Earnest Money deposit and obtain receipt from attorney/broker or title company and upload receipt of EM for broker compliance
  • Verify inspection date and time and ensure all parties have received reports to review
  • Keeping in contact with the title/escrow company or closing attorney and lender throughout the transaction, and provide agent email updates on the status of the transaction to keep you informed
  • Update deadlines due to any changes in the contract
  • Order/Collect HOA documents in accordance with deadlines and email to buyer's agent (if on list side) or to buyer (if on buyer side), if needed
  • Order Home Warranty per contract, if needed
  • Confirm inspection has been set up in accordance with offer deadline
  • Monitor appraisal timeline and completion with the lender
  • Coordinate and monitor buyer's loan status with lender
  • Ensure represented client is provided a copy of all documents
  • Remind agent to draft Disbursement Authorization— if TC is completing DA/CD request, the form MUST BE approved by agent before submitting to closing attorney or escrow and compliance
  • Upload all disclosures, documents, and reports into agent's online transaction management service as they are received or fully executed throughout the transaction (if applicable)
  • Provide access to the transaction management service 24/7 to all parties to the transaction (if applicable)
  • Maintain constant contact with all parties involved for status updates as well as outstanding items
  • Verify closing attorney or title company has all required documentation
  • Coordinate and confirm final walk-through
  • Schedule closing/signing appointments for client and agent (if applicable)
  • Conduct a final audit of file seven days prior to closing to ensure the file is complete
  • Confirm closing appointment and remind agents and buyer/seller
  • Upload Settlement Statement/HUD/CD to online transaction management service/broker for compliance

  • Upload Buyer's Representation Agreement and all broker-required forms
  • Submit all executed contracts, counter-proposals, and amendment extensions (if applicable) to lender
  • Arrange EM pick up/remind the buyer to wire or drop off check
  • Upload all forms, exhibits/addendums, and amendments for compliance
  • Follow up on repairs and receipts from inspection
  • Give utility contact info and remind the buyer to transfer utilities
  • Coordinate key transfer upon closing (if needed)
  • Send email to your client asking for a review on Zillow or your preferred site


SELLER'S SIDE:


  • Listing Agreement and all broker-required forms uploaded for compliance
  • Follow up signatures of all documents
  • Upload all forms, amendments, and addendums/exhibits for compliance
  • Follow up on repairs and receipts
  • Update MLS status to under contract/pending inspection, pending, and closed/sold
  • Order For Sale sign down
  • Coordinate removal of any staging furniture (if applicable)
  • Coordinate closing gift per agent's instructions (if needed)
  • Send email to your client asking for a review on Zillow or your preferred site


AGENT EXPECTATIONS:


  • Review closing attorney/escrow instructions and settlement statements
  • Review preliminary title reports (if applicable)
  • Negotiate repairs and/or any changes to the contract
  • Advise the client of any contingency timeline removals (We will remind all parties of the dates and timeframes in the introductory email.)
  • If TC is drafting documents, the agent MUST review before being sent to client (if applicable)


FEE SCHEDULE:


  • Seller or Buyer Side: $400.00,
  • Dual Transaction: $600.00
  • Paid at closing or by invoice to agent paid within 3 days of closing according to New Client Agreement.
